Redacting a PDF: why covering text is not enough

Learn the difference between an annotation and permanent redaction, including the tradeoffs of rebuilding PDF pages as images.

PDF content can include a text layer, page images, annotations and other objects. Placing a black rectangle over a name changes what the reader sees, but an ordinary annotation may leave the original name available for selection, copying or extraction. Use a dedicated redaction process when the information must be removed from the resulting file.

How FolioSprint redaction works

Mark areas in the preview or enter their page and normalized coordinates. FolioSprint renders the pages, paints the marked areas black and builds a new PDF from the resulting images. It does not copy the original text layers, links or interactive page objects into that output.

Rebuilding the document has a practical cost: the result is image-based and no longer searchable. Fine details are limited by rendering resolution. Keep an original in an appropriate private location if you still need its editable or searchable version.

Mark the whole area

Include enough space around the information to remove every visible character. Check whether the same information appears in a heading, footer, signature, repeated table, another page or a scanned image. A redaction region on page one does not remove matching text elsewhere.

Use the preview for placement, then inspect the downloaded file itself. Look at the edges of each redaction and compare the page count with the source. The final file is the object you will share, so it deserves a separate review.

Metadata and passwords serve other purposes

Removing metadata can clear ordinary document properties, but it does not erase visible names. Password protection restricts opening the file, but anyone with the password can read its unredacted contents. Choose the operation that matches the information you need to protect.

For material with significant confidentiality requirements, follow your organization’s approved review and distribution process before sending any converted copy.
