Using AI document answers without losing the source

Ask focused questions, understand text limits and verify page references when summarizing, querying or translating a PDF.

Give the tool a focused task

A precise question is easier to check than an open-ended request. Ask “Which deadlines are stated in this brief?” or “What budget is specified?” when those facts are what you need. If you want an overview, use the summary tool and review the key points against the source.

FolioSprint extracts document text and sends it to OpenAI only when you select an AI tool and confirm that processing. A verified account is required. Ordinary document conversion tools do not need to send their contents to an AI provider.

Know which text was available

Each AI request uses up to 60,000 extracted characters. A long document may exceed that limit, and the result then includes a truncation notice. An answer cannot establish what an omitted appendix says. Split a long document or extract the relevant pages before asking a question about a specific section.

Scans can introduce recognition errors before the AI reads anything. If the source text is unclear, correct the scan or check its OCR output first. A confident sentence cannot make an incorrectly recognized number reliable.

Follow the page references

The AI is instructed to cite source page labels for factual answers and summaries. Use those references to find the relevant passage in the original PDF. Check whether the passage supports the whole claim, including conditions and exceptions, rather than just a matching phrase.

AI can misunderstand, omit information or generate an incorrect reference. Treat its output as a reading aid, particularly when a decision depends on exact wording. If the information is absent, a useful answer should acknowledge the gap.

Translation has a different output goal

The translation tool exports readable text to TXT and Word. It does not reproduce the original PDF layout, and its output is not a certified translation. Review names, specialized terminology and numbers with the level of care your intended use requires.
